POLICIES AND PROCEDURES
If you are a returning guest, please be advised that our policies have changed and are subject to change at any time.
ALL POLICIES ARE STRICTLY ENFORCED. IT IS THE RESPONSIBILITY OF ALL GUESTS (AND MEMBERS OF THEIR PARTY) TO BE FAMILIAR WITH ALL POLICIES PERTAINING TO RENTAL, AND TO VERIFY ALL DATES AND OTHER INFORMATION ON THEIR CONFIRMATION.
NOTICE: We rent to responsible adults over the age of 21 only. ID required at check in from all guests occupying the cabin. All guests under the age of 21 must be accompanied for the entire stay by a parent or legal guardian.
1. RESERVATION PROCEDURES
All rates shown on availability calendar are per night and do not include any applicable taxes or fees. Rates are subject to change without notice. All rentals require a 2 night minimum stay. Due to security reasons, ALL CHECK INS AFTER 7 PM MUST ELECT THE EXPRESS CHECK IN. Arrivals after 7PM that have not arranged EXPRESS CHECK IN will NOT be able to access their cabin. (See Express Check in Policy below)
All reservations are subject to a non-refundable one-time processing fee of $25.00. All reservation made by phone are charged a reservation fee of $10.00.
These fees will not be waived for any reason.
50% of rental fee required in advance to hold reservation.
Upon receipt of deposit, confirmation receipt will be emailed to you. If you do not have an email address, confirmation can be mailed to you. We do not call you after we receive your reservation. It is your responsibility to verify dates and other information. We are not responsible for errors not corrected in advance.
Only the name on the reservation will be authorized to check in unless prior arrangements are made with the office. (See Guest Check in Policy below)
2. PAYMENT OPTIONS
We accept Visa, Mastercard, and Discover for your deposit.
Balance is due at check in, and must be paid with Cash, Credit Card or Travelers Check.
The Credit Card used to make your deposit must be present along with the card holder at the time of check in. Or a Credit Card Authorization must be completed prior to check in. (See Credit Card Authorization Policy below)
3. CREDIT CARD AUTHORIZATION
Credit Card Authorization is used when a reservation is being paid for by someone other than the arriving guest.
You must contact the office to make these arrangements. We will fax you a form that will include the charges for the cabin. The credit card authorization can be approved for the deposit amount, the balance amount or for the full amount. A copy of the credit card being used and a copy of the driver’s license of the authorized signer must be faxed back with the credit card authorization form in order for transaction to take place. If this procedure is not completed by the time of guest arrival, check in will not be allowed. Payment would need to be made by the guest in order to check in.
4. EXPRESS CHECK IN / LATE CHECK IN
Helpful tip: Fridays are our busiest day of the week. The wait to check in can sometimes be 15 minutes or longer. To avoid this wait, take advantage of our express check in.
Avoid long check in lines (especially on Fridays), by taking advantage of our Express Check In Service. To qualify for this service, balance must be paid in full in advance of check in. You must contact the office to make these arrangements. We will fax three forms to you. The first one will have the cabin charges, and credit card information (credit cared information will need to be completed by guest) and the second is the vehicle information (vehicle information will need to be completed by guest). The third will be our policies and procedures which you will need to read and sign. ALL POLICIES WILL BE STRICTLY ENFORCED. All forms must be completed and faxed back to 706-878-7728. Note: This fax must be received by our office at least 3 days prior to your arrival date or you will be unable to access your cabin. Once all forms are received we will charge the balance to your credit card at that time. We will then fax a map and key code to you one week before check in.
Express check in does not mean early availability or early check in. If you arrive at your cabin before 3:00pm you will be charged for an additional night. Normal check in and check out policies apply to express check in.
Express check in done only by fax. We are unable to email any type of paperwork.
A copy of the credit card being used and a copy of the driver’s license of the authorized signer must be faxed back with the express check in paperwork in order for transaction to take place.
Military ID also must be faxed with Express Paperwork in order to receive the military discount. This will not be adjusted after check in.
Note: Due to security reasons, all check- ins arriving late (after 7 p.m.) must select Express Check In. If you do not wish to use this service, you must check in on your day of arrival between 3 p.m. and 7 p.m. If you are on the road and find you may be arriving after 7 p.m., you must call the office to make arrangements for Express Check In, as the office will be closed. If you arrive after 7 p.m. without making arrangements with the office, you will not be able to access your cabin, and there will be no refunds.
5. DAMAGE DEPOSIT
All reservations made on or after December 6, 2007 a Damage Deposit is required for every rental.
All guests are responsible to pay a $25 non-refundable damage wavier, which will relieve Guest of the cost for all unintentional and incidental damage to property and its contents, up to an amount of $200.00. This Damage Waiver does not cover intentional damage, theft, and excessive cleaning required or unintentional damage over the cost of $200.
This fee will not be waived for any reason.
6. CANCELLATIONS
NO REFUNDS OR RESCHEDULES FOR CANCELLATIONS MADE SEVEN (7) DAYS OR LESS BEFORE ARRIVAL DATE. THERE WILL BE NO EXCEPTIONS FOR ANY REASON.
All cancellations made 8 days or more prior to arrival will be refunded minus a $25.00 Service Fee.
You must call in to our Office during regular business hours and obtain a Cancellation Number for your cancellation to valid. We do not accept cancellations by email or voicemail.
7. CHANGES
All changes to your reservation and reschedules will be charged a $25.00 Service Fee.
All changes must be made 8 days prior to arrival.
8. REFUNDS
No refunds for early departures (less nights than reserved).
No refunds for reducing the number of nights reserved with less than 7 days notice.
No refunds for No Shows. If you have not checked in by 7.p.m., and have not called the office to make arrangements for a late check in, your reservation will be considered a No Show, and your deposit will not be refunded.
The staff here at Blue Ridge Cabins does their best to make sure every cabin is ready for your stay. There should be no expectation of refund, and there will be no refund or relocation because you are disappointed with the property you have chosen to rent or in the event that something associated with the property is not working to your satisfaction. There will be no refunds or compensation for: Acts of God, Mother Nature, acts of war or government agencies, road maintenance, gas shortages, power outages, TV service outages, internet outages or water outages.
9. SPECIALS / DISCOUNTS
Specials are offered on our website under the special tab. Specials are subject to change at any given time. No additional specials or discounts apply with any special. You must mention the special at the time you make your reservation for it to be valid. And specific instructions given on an internet special must be followed. We will not be able to add or adjust any special after the reservation has been submitted.
We do offer discounts. You can find those on our specials page as well.
10. CHECK IN / CHECK OUT TIMES
NO EXCEPTIONS! – Check in time is anytime after 3:00 PM and before 7:00PM; checkout is anytime prior to 11:00 AM. Map & key codes will not be released, nor will cabin be available until check in time of 3:00 PM.
Check out time is 11:00 am, you will automatically be charged for an additional night if not checked out by 11:00 am.
NO EARLY CHECK INS!
Please note: Due to our standards for cleanliness, there is a possibility that your vacation rental may not be ready at 3:00pm, especially during peak season. Your patience is appreciated.
11. DIRECTIONS TO CABIN
You will be given a map and key code at the time of check in. We do not issue the map and key code early for any reason other than express check in.
We do not issue addresses to any cabin prior to check in for any reason.
12. GUEST CHECK IN
Only the name on the reservation will be authorized to check in unless prior arrangements are made with the office.
If someone is checking in for you, you will need to contact the office prior. We will need in writing the name of the person you are authorizing to check in for you. We will also need a credit card authorization completed (see credit card authorization policy). And all payment arrangements must be made prior to check in.
13. MAXIMUM OCCUPANCY
The maximum occupancy is stated in all accommodation descriptions. Any child one year old and above is considered an occupant & must be included in the occupancy total. Rollaway beds, inflatable mattresses & sleeping bags are prohibited. If you are found to exceed the maximum occupancy of your cabin it will result in immediate eviction with no refunds.
Cabins that allow extra guest require additional guest fees of $10 per guest, per night. These charges are added at the time of check in.
14. CABIN AMENITIES
Descriptions of cabins are deemed accurate but are not guaranteed. We reserve the right to make changes to cabin furnishings, equipment, and amenities as necessary.
All cabins have DVD, VCR or BOTH.
All cabins have heating and air conditioning, fireplaces, BBQ grills (most are gas), all kitchenware, coffee filters, trash bags, toilet paper, paper towels, dish soap, bar soap, kitchen & bath towels, and bed linens.

Wireless Internet is available in selected cabins. We are not in control of your computer being compatible with our service. We are also not able to control if the internet is down due to the provider. WE DO NOT HAVE DIAL UP ACCESS!
15. PETS
All pets must be disclosed at the time of reservation, and will be verified at check in.
A NON-REFUNDABLE one time Pet Fee. Charges for your pet will be applied to your reservations (this is not a nightly charge, just a one time charge).
1 pet $30, 2 pets $40, 3 pets $50 (per reservation). Three pets per cabin maximum.
These charges are added at the time of check in.
Pets are not permitted in hot tub. Guests agree to pay additional cleaning fees if pet gets into the hot tub.
Pets must be completely housebroken, well behaved, and pest free.
Pets are not allowed on furniture. Guests will be charged additional cleaning fees if pet hair causes a delay in cleaning services.
Guests agree that they will not use any linens or towels for their pets.
Pets shall not be left uncrated while alone in cabin. NOTE: If maintenance or repairs are required, service personnel will not enter the cabin if there is an unattended pet. You will be charged if maintenance or personnel is unable to enter the property due to your animal not being crated. If you do not have a crate for your pet you will be asked to leave.
Guests agree to pay for any damages caused by pets.
If pet(s) have an accident in cabin, all clean up will be performed by the Guests. Guests further agree to police waste from the grounds and deposit in garbage cans. Guests agree that failure to comply with clean-ups of either inside cabin or outside cabin will result in additional cleaning charges.
Guests agree to be in full control of their pets at all times and take full responsibility for their pets well being. All pets must be on a leash when on cabin property.
If any of these Pet Policy items are not met, guests are in violation of our policy.
16. CABLE / SATELLITE TV
All cabins come equipped with either cable or satellite. We do not guarantee any particular channels, as packages may vary from cabin to cabin, or over time.
We are not responsible for cable or satellite service interruptions.
No Refunds will be issued for these outages.
17. GAS LOG FIREPLACES
Guests acknowledge, understand, and agree that gas log fireplaces are seasonal and are operational from October 1st through April 15th. No other items may be burned in gas log fireplace, including but not limited to; sticks, wood, charcoal, lava rocks, etc. Guests agree to pay for any damages caused by burning items in the fireplace. Guests further agree that no fire will be left unattended.
18. WOOD BURNING FIREPLACES
Guests acknowledge, understand, and agree that wood burning fireplaces are seasonal from October 1st through April 15th. Firewood is for sale at office during fireplace season only. Only hardwood or Dura flame type logs shall be burned in wood burning fireplaces. No other item including but not limited to; charcoal, lava rocks, accelerants, etc. will be burned in wood log fireplaces. Guests agree to pay for any damages caused by burning items in the fireplace. Guests further agree that no fire will be left unattended.
19. FIREPITS / CAMPFIRES
If a property does not offer a fire pit guests will not make one, doing so is considered damage and guests will be charged accordingly. If your cabin has a fire pit you must use at your own risk. Do not leave children unattended while fire is burning. Guest agrees that no burning or smoldering fireplaces or fire pits shall be left by guests, ever.
Firewood is for sale at our office Oct. 1st – April 15th.
CAMPFIRES ARE NOT ALLOWED!
20. HOT TUBS
Guests may not add any objects or chemicals to the hot tubs. Guests agree to pay any additional fees if hot tub has been compromised in such a manner that results in cleaning services being delayed. Hot tubs have been cleaned prior to Guests arrival. Guests understand that hot tub usage is at their own risk and will not hold Blue Ridge Cabins responsible for any injury. It is absolutely forbidden for children to be in the hot tub without a responsible adult.
NO GLASS ALLOWED IN OR AROUND HOT TUB AT ANYTIME!
21. PHONE SERVICE
All cabins have local phone service. Cabin telephones are toll restricted and do not permit long distance calls except for calling card calls and emergency (911) calls.
Majority of Cell-phone coverage is reliable in the cabins; however signal may weaken in the surrounding areas. There is no long distance available.
22. PROPANE GRILLS
Properties with propane grills are fueled by liquid propane, and under NO circumstances may Guests add charcoal or any derivative of charcoal to the propane grills. Guests agree that if charcoal is added to a propane grill, guest will be charged for the cleaning of grill. Propane is provided by Blue Ridge Cabins. Check your grill before 4:30pm to a make sure it is working properly. If you have any difficulties with your grill after 5:00pm the problem will not be rectified until the following day.
23. TRASH
ALL trash must be disposed by guest. Three large dumpsters are located at the office for guest to use. A charge of $5 per bag will apply for any trash left behind in cabin.
24. ANIMALS AND INSECTS
All cabins are treated by a professional pest control company on a regular bases. However guests are in the mountains and woods and depending upon the time of year may encounter Bear, Deer, Turkey, Ladybugs, Carpenter Bees, Wasps, Scorpions, Ticks, Ants, Chiggers, etc. Guests are encouraged to dress accordingly and to bring insect repellent for outdoors activities.
NO REFUND OR DISCOUNT will be offered.
25. ROADS
Most cabins are on gravel roads. The Helen area is mountainous, and therefore some roads and /or driveways may be slightly steep. They are all accessible by any type of vehicle, however, if you are arriving by motorcycle or will be towing a trailer, please review the cabin amenities to see if it is trailer accessible, or contact us prior to making a reservation so we may determine which cabin location will allow for easiest access.
26. CONDUCT
Occupancy and use of premises shall not be such as to disturb or offend neighbors or residents, including but not limited to; parties, excessive speeding through neighborhoods, riding of ATV’s or Off Road Motorcycles/Dirt Bikes, excessive noise and/or obnoxious behavior, discharging of Firearms, BB/Pellet Guns, Paint Ball Guns, Potato Cannons, or Fireworks, etc. No portable pools, water slides or water activities are allowed anywhere on cabin properties. We reserve the right to demand that disruptive Guests vacate the premises, with no refund.
27. CONSTRUCTION AT NEARBY SITES
Guests acknowledge, understand, and agree that construction of new accommodations and attractions occur in resort areas. NO REFUNDS OR DISCOUNTS will be offered for inconveniences due to but not limited to; construction, construction noise, road repair, and maintenance.
28. RIGHT OF ENTRY
Guests acknowledge, understand, and agree that we reserve the right to enter property at anytime to investigate disturbances, check occupancy, check damages, make repairs, alterations, and improvements, as we deem necessary.
29. INVENTORY
Blue Ridge Cabins inspects and inventories all cabins before each rental. The person on the reservation is responsible for any damages or missing items in the cabin.
If something is damaged at the time of your arrival, you must report it to the office or you will be charged for it.
30. MAINTENANCE
If you have any difficulties with anything in your cabin during your stay, you must make us aware of it before you check out, so that we may do whatever is necessary to resolve the situation.
In case of a breakdown of any property equipment, guests must notify Blue Ridge Cabins immediately to make the necessary repairs. We can not guarantee; heat, air conditioning, electricity, water, any appliances, hot tub, cable, satellite, television, telephones, electronics, gas logs, grills, etc. No refunds or compensation will be given for failure of the above.
Our Maintenance staff is available Monday thru Friday 9AM-5PM.
Saturday & Sunday On call for emergencies only.
31. TERMINATION BY OWNER / SUBSTITUTIONS
We strive to comply with all reservation requests for specific vacation properties. However, due to ownership changes, properties being removed from rental use, mechanical problems, or other unforeseen circumstances, we cannot absolutely guarantee a specific property. We reserve the right to change property unit assignment without liability should rental property become unavailable. Where comparable properties are not available Guests will have the option of selecting from available properties at the published rate or receiving a complete refund.
32. REFUSAL OF SERVICE
We reserve the right to refuse service to anyone. All rental properties are leased without regard to race, color, religion, sex, national origin, or handicap. Due to liability issues, we will be unable to provide prospective renters with directions or keys to preview properties.
33. ITEMS LEFT BEHIND
We are not responsible for any items left behind. Personal items found in the cabins will be held for two weeks then disposed of. Any items requested to send to guest will be sent C.O.D. through the post office. We are unable to send packages any other way. Packages are sent out once a week. We do our best to get your items back to you in a timely matter.
