All policies are strictly enforced. It is the responsibility of all guests (and members of their party) to be familiar with all policies pertaining to rental, and to verify all dates and other information on their confirmation.
NOTICE: We rent to responsible adults over the age of 21 only. All guests under the age of 21 must be accompanied for the entire stay by a parent or legal guardian.
1. RESERVATION PROCEDURES
All rates shown on availability calendar are per night and do not include any applicable taxes or fees. Rates are subject to change without notice. All rentals require a 2 night minimum stay.
All reservations will be charged a:
►Processing fee: a non-refundable one time fee of $35.00
►Damage Insurance fee: a non-refundable one time fee of $39.00
Damage Insurance will purchase an insurance policy in the amount of $3000. This damage insurance does not cover theft, excessive cleaning required or damage over the cost of $3000.
►Any additional cost caused by damage or excessive cleaning required will automatically be charged to the credit card(s) on file.
(This product is included with all reservations, however if for some reason you do not want this service we can remove it but you will be charged a $50 non-refundable Damage Waiver in lieu of a security deposit. Any damages over $300 you will be responsible for.)
►All reservations are subject to these fees which will not be waived for any reason.
►All reservations made 5 or more days before arrival date require 50% of rental fee at the time of booking to hold reservation.
►All reservations made 5 days or less before arrival date are required to pay full rental amount and fees when reservation is being booked.
►You will be contacted by a reservationist within 24 hours of booking your reservation.
►Upon receipt of deposit, confirmation/rental agreement will be emailed or faxed to you. If you do not have an email address, confirmation can be mailed, however your reservation will need to be made two weeks in advance. It is your responsibility to verify dates and other information. We are not responsible for errors not corrected in advance.
►You will need to return to us by fax or email the completed and signed agreement.
2. PAYMENT OPTIONS
We accept Visa, MasterCard, and Discover
Balance is due 5 days before arrival date, this balance must be paid by credit card. *If you would like to pay your balance with cash we can refund the credit card at check in and replace with cash payment.
All reservations must have a credit card on file, even if paying full amount in cash. Card must match name on reservation.
However ALL reservations must be paid in full 5 days before arrival, or reservation will be cancelled and deposit will not be refunded.

3. CANCELLATION, RESCHEDULES, CHANGES & REFUNDS
There will be no refunds for cancellation made thirteen (13) days or less before arrival date. There will be no exceptions for any reason All cancellations made 14 days or more prior to arrivals will be refunded minus a $35.00 Service Fee. You must call our office during regular business hours and obtain a Cancellation Number for your cancellation to be valid. All changes or reschedules must be made 14 days or more prior to arrival, you will be charged a $25.00 Service Fee. No refunds for early departures (fewer nights then reserved). No exceptions. No refunds for reducing the number of nights reserved with less than 13 days notice.
►On all last minute reservations (made 5 days or less) in the event you need to cancel, no refund will be given.
There will be no refunds or compensation for: Acts of God, Mother Nature, acts of war or government agencies, road maintenance, gas shortages, power outages, TV service outages, internet outages or water outages.
4. CHECK IN / CHECK OUT TIMES
Check in time is at 3:00PM or after. Sorry No Exceptions! No Early Check Ins!
Key codes are not activated until 3:00PM on arrival date.
Check out time is at 11:00AM. You will automatically be charged for an additional night if you check out anytime after 11:00AM.
Please Note: Due to our standards for cleanliness, there is the possibility that your vacation rental may not be ready right at 3:00PM, especially during peak season. Your patience is appreciated.
5. SPECIALS / DISCOUNTS
Specials are subject to change at any given time. No additional specials or discounts apply with any special. You must mention the special at the time you make your reservation for it to be valid. Specific instructions given on an internet special must be followed. We will not be able to add or adjust any special after the reservation has been submitted.
6. DIRECTIONS TO CABIN AND KEY CODE
You will be emailed or faxed a map and key code no sooner than 5 days before your arrival date, once final payment is received.
7. MAXIMUM OCCUPANCY
The maximum occupancy is stated in all accommodation descriptions. Any child one year old and above is considered an occupant & must be included in the occupancy total. Rollaway beds, inflatable mattresses & sleeping bags are prohibited. If you are found to exceed the maximum occupancy of your cabin it will result in immediate eviction with no refunds.
Cabins that allow extra guest require additional guest fees of $10 per guest, per night. These charges are added with reservation over the phone. The number of guests may not exceed the authorized number of guests as listed per cabin at anytime. (Example: if cabin sleeps 6 people that is the maximum amount of people allowed at this cabin). If you exceed this number you will be asked to leave with no refund. Once charges are paid for extra guests, there are no refunds. Lines will not be provided for extra guest if fees are not paid.
8. CABIN AMENITIES
Descriptions of cabins are deemed accurate but are not guaranteed. We reserve the right to make changes to cabin furnishings, equipment, and amenities as necessary.
All cabins have:
►TV, DVD & Cable or Satellite: We do not guarantee any particular channels, as packages vary from cabin to cabin.
►Local Phone Service: Long distance is not provided.
►Indoor Fireplaces: Gas or wood burning fireplaces are seasonal, authorized to be used Oct. 1st- April 15th. Guest agrees to pay any additional fees for using fireplaces during off season or causing any damages.
►Heating & Air Conditioning
►Gas BBQ Grills: Properties with propane grills are fueled by liquid propane, and under NO circumstances may Guests add charcoal or any derivative of charcoal to the propane grills. Guests agree that if charcoal is added to a propane grill, guest will be charged for the cleaning of grill. Propane is provided by Blue Ridge Cabins. Check your grill before 4:30pm to a make sure it is working properly. If you have any difficulties with your grill after 5:00pm the problem will not be rectified until the following day.
►Toiletries & Supplies: Kitchenware, coffee filters, trash bags, toilet paper, paper towels, dish soap, bar soap, kitchen & bath towels, and bed linens.
Several cabins have:
►Wireless Internet: We are not in control of whether your computer is compatible with our service. We are also not able to control if the internet is down due to the provider. DIAL UP SERVICE IS NOT AVAILABLE IN OUR AREA.
►Fire pits: Fire pits or campfires are not allowed unless your cabin has a custom fire pit. Use at your own risk.
►Hot Tubs: Guests may not add any objects or chemicals to the hot tubs. Guests agree to pay any additional fees if hot tub has been compromised in such a manner that results in cleaning services being delayed. Hot tubs have been cleaned prior to Guests arrival. Guests understand that hot tub usage is at their own risk and will not hold Blue Ridge Cabins responsible for any injury. It is absolutely forbidden for children to be in the hot tub without a responsible adult. NO GLASS ALLOWED IN OR AROUND HOT TUB AT ANYTIME!

9. PETS
All pets must be disclosed at the time of reservation.
A NON-REFUNDABLE one time Pet Fee. Charges for your pet will be applied to your reservations (this is not a nightly charge, just a one time charge).
1 pet $30, 2 pets $40, 3 pets $50 (per reservation). Three pets per cabin maximum. Pets shall not be left uncrated while alone in cabin. Guest is responsible to pick up after their pet inside and outside of cabin.
10. TRASH
NEVER LEAVE ANY TRASH OUTSIDE YOUR CABIN, IT WILL ATTRACT WILDLIFE.
ALL trash must be disposed of by guest. Three large dumpsters are located at the office for guest to use. A charge of $5 per bag will apply for any trash left behind in cabin. (credit card(s) on file will automatically be charged for this fee)
11. ANIMALS AND INSECTS
All cabins are treated by a professional pest control company on a regular basis. However, your cabin is in the mountains and woods and depending upon the time of year may encounter Bear, Deer, Turkey, Ladybugs, Carpenter Bees, Wasps, Scorpions, Ticks, Ants, Chiggers, etc. Guests are encouraged to dress accordingly and to bring insect repellent for outdoors activities.
NO REFUND OR DISCOUNT will be offered due to critters.
12. ROADS
Most cabins are on gravel roads. The Helen area is mountainous, and therefore some roads and /or driveways may be slightly steep. They are all accessible by any type of vehicle, however, if you are arriving by motorcycle or will be towing a trailer, please review the cabin amenities to see if it is trailer accessible, or contact us prior to making a reservation so we may determine which cabin location will allow for easiest access.
13. CONDUCT
Occupancy and use of premises shall not be such as to disturb or offend neighbors or residents, including but not limited to; parties, excessive speeding through neighborhoods, riding of ATV’s or Off Road Motorcycles/Dirt Bikes, excessive noise and/or obnoxious behavior, discharging of Firearms, BB/Pellet Guns, Paint Ball Guns, Potato Cannons, or Fireworks, etc. No portable pools, water slides or water activities are allowed anywhere on cabin properties. We reserve the right to demand that disruptive Guests vacate the premises, with no refund.
We do not allow any house parties of any kind, no family reunions or gatherings that exceed maximum occupancy. The number of guests may not exceed the authorized number of guests as listed per cabin at anytime. (Example: if cabin sleeps 6 people that is the maximum amount of people allowed at this cabin). If you exceed this number you will be asked to leave with no refund.
14. VEHICLES
All vehicles must be registered with the office. (Complete information included with confirmation)
15. CONSTRUCTION AT NEARBY SITES
Guests acknowledge, understand, and agree that construction of new accommodations and attractions occur in resort areas. NO REFUNDS OR DISCOUNTS will be offered for inconveniences due to but not limited to; construction, construction noise, road repair, and maintenance.
16. MAINTENANCE
If you have any difficulties with anything in your cabin during your stay, you must make us aware of it before you check out, so that we may do whatever is necessary to resolve the situation.
In case of a breakdown of any property equipment, guests must notify Blue Ridge Cabins immediately to make the necessary repairs. We can not guarantee; heat, air conditioning, electricity, water, any appliances, hot tub, cable, satellite, television, telephones, electronics, gas logs, grills, etc. No refunds or compensation will be given for failure of the above. We reserve the right to enter your cabin as we deem necessary. Our Maintenance staff is available Monday thru Friday 9AM-5PM.
Saturday & Sunday On call for emergencies only.
17. TERMINATION BY OWNER / SUBSTITUTIONS
We strive to comply with all reservation requests for specific vacation properties. However, due to ownership changes, properties being removed from rental use, mechanical problems, or other unforeseen circumstances, we cannot absolutely guarantee a specific property. We reserve the right to change property unit assignment without liability should rental property become unavailable. Where comparable properties are not available Guests will have the option of selecting from available properties at the published rate or receiving a complete refund.
18. REFUSAL OF SERVICE
We reserve the right to refuse service to anyone. All rental properties are leased without regard to race, color, religion, sex, national origin, or handicap.
19. ITEMS LEFT BEHIND
We are not responsible for any items left behind.
